This page is an honest scope statement. The HubSpot connection that runs today is SmartChoice's own: each self-service SmartTile trial becomes a Company, Contact, Note and Deal in SmartChoice's HubSpot. Connecting a customer's own HubSpot so outages open HubSpot tickets is not finished, and the /msp questionnaire does not reach HubSpot yet.
A trial that nobody in sales knows about is a trial that expires quietly. The SmartTile signup page hands every new trial straight to SmartChoice's HubSpot so a salesperson owns it from minute one. That is SmartChoice-internal plumbing — useful to know if you are a partner or prospect wondering what happens to the details you type in, but not something a SmartTile customer connects or configures.
| Piece | Status today |
|---|---|
| Self-service trial signup (/signup) → SmartChoice HubSpot | Live. Company, Contact, Note, Deal and associations, from the details on the form. |
| Sales notification for every signup | Live. SmartChoice sales is e-mailed the signup with links to the HubSpot Company, Contact and Deal. |
| /msp onboarding questionnaire → HubSpot | Not built. Responses are stored in SmartTile for SmartChoice super admins only; a HubSpot id column is reserved, nothing is sent. |
| A customer's own HubSpot as a ticket destination | Not finished. ServiceAutomate has a HubSpot card that saves a private-app token (encrypted) and can Test it, but no outage opens a ticket in a customer's HubSpot from that card today. |
| Two-way notes, auto-close, Lab round-trip, Automation Audit Ledger for HubSpot | Not available — HubSpot is not a ServiceAutomate ticket platform yet. |
Searched by exact name first; created only if missing — with phone, address, the e-mail domain, industry (mapped to HubSpot's values), with company size in the description.
Searched by e-mail first; created only if missing — name, phone, company and job title.
"New SmartTile SaaS trial signup" with company, size, industry, title, contact, phone, source and trial end — linked to the Company and Contact.
"<Company> — SmartTile Demo" in the configured pipeline and stage, close date = trial end, no amount (sales sets the value), linked to both.

If any HubSpot step fails, the trial still goes live and SmartChoice is e-mailed the failure with the full result so the lead can be entered by hand.
Existing companies and contacts are reused rather than created again, so a second trial from the same person lands on the same HubSpot records.
The HubSpot private-app token is a server setting. It is never sent to the browser and never shown in SmartTile.
If a company saves a token on the ServiceAutomate HubSpot card, it is stored encrypted against that company and returned masked — even though nothing uses it for tickets yet.
| Question | Answer |
|---|---|
| Can SmartTile open tickets in our HubSpot? | Not today. Tickets go to the IT Service Management (ITSM) systems ServiceAutomate supports — Kaseya (Autotask, BMS), Freshservice, ServiceNow, Jira Service Management, Rev.io, HaloPSA, ConnectWise PSA, Zendesk, NinjaOne, ManageEngine, Ivanti, Freshdesk. |
| We filled in the /msp questionnaire — is it in HubSpot? | Not automatically. It is in SmartTile, where SmartChoice's team reviews every response and follows up. |
| What happens to details I type at signup? | They create your trial and a lead in SmartChoice's HubSpot — nowhere else. |
